Who we are

Our role under the DPDP Act
For member records a society or builder uploads (names, flat numbers, phone numbers, dues and payments), the society or builder is the Data Fiduciary and SocietyHisaab processes that data on their instructions. For data you give us directly, such as a demo request, SocietyHisaab is the Data Fiduciary.
What we collect
- Society and flat details, member names and mobile numbers.
- Bills, payments, receipts, expenses and other accounting records.
- Complaints, notices, poll responses and documents shared within the society.
- Your mobile number when you request a demo on this website.
How we use it
- To generate bills and receipts and send them over WhatsApp, SMS or the app.
- To reconcile UPI payments to the correct flat.
- To prepare ledgers and reports for the committee and its auditor.
- To contact you about the demo you asked for.
We never sell member data and never use it for advertising.
Consent
Members are informed and their consent is recorded before they receive messages. Members may withdraw consent at any time by contacting their society committee or writing to us.
Where data is stored
All data is stored on servers located in India, encrypted in transit and at rest. Access is limited to authorised committee members, the auditor the committee appoints, and SocietyHisaab staff who need it to provide support.
Retention
Accounting records are kept for as long as the society's account is active and as required by law. When a society closes its account, data is exported to the committee and then deleted within 90 days, except where the law requires us to keep it.
Your rights
Under the Digital Personal Data Protection Act, 2023 you can ask to access, correct or erase your personal data, and nominate someone to exercise these rights on your behalf. Send requests to hello@societyhisaab.in.
